Add a lead and take it to a client
The whole path: add a lead, turn it into a contact, work it in the pipeline, and win it into a client.
What this covers
The full journey for one person, end to end: a new lead comes in, becomes a contact, is worked in the pipeline, and — once won — turns into a client. Follow it in order the first time; after that each step stands on its own.

1. Add the lead
Start in Lead Intake only when the person is new. If they already exist, open the contact and skip ahead to putting them on the pipeline — do not create a duplicate.
Click Add lead, then fill in what you know: the name, an email or a phone number, an optional company, and a short source note. As you type an email or phone, Klienta checks whether that method already belongs to another contact or company.
Use Lead Intake before the first call, when the person is new.
Name plus one contact method is enough. Add the company and a note when you have them.
2. Review turns the lead into a contact
Most leads never wait. If Klienta finds no match for the email or phone, the lead is resolved on the spot: the contact is created and assigned to you, and you can start working it right away.
A lead only goes to Pending review when something needs a human decision — the contact method already belongs to someone, the match is ambiguous, or the record is flagged as risky or protected. Those wait for an admin.
Open the lead to see exactly what was submitted, next to anything Klienta already matched.
Pending leads sit at the top of the list until someone reviews them.
Open a lead to check the details it came in with.
3. Put them on the pipeline
A contact is not a deal until you say so. Go to Contacts, narrow the list down if it is long, and tick the people you want to work.
Filter and sort until you are looking at the people you mean to work.
Tick one or many — the bar at the bottom counts what you have picked.
Then press Add to pipeline. They arrive on the board at the To Contact stage, waiting for a first call.
The selection bar carries the action.
A new deal starts here, with nothing recorded against it yet.
4. Work it in the pipeline
The pipeline board is where the selling actually happens. One card is one deal. Open the card for the contact you just added — it starts in To Contact.
Active is the board you work. Each card is one deal, grouped by stage.
Reach the person straight from the card — call, message, or email. Do the outreach from here so the work is recorded against the deal rather than lost outside the platform.

Called from your own phone instead? Use Record manual phone just below, with a short note saying what happened. It puts the call on the deal the same way the built-in one does, so the history stays complete even when the call did not go through Klienta.
5. Record the outcome every time
After each attempt, record what happened. The outcome moves the deal to the right stage so the board always shows the real state.
Every attempt gets an outcome — it decides the next stage and the next follow-up.
The common outcomes:
- Interested — they want to move forward. Keep working the deal toward a win.
- Didn't answer — no reply yet. Klienta schedules the follow-up.
- To Contact — reached, but not the right moment. Try again later.
- Not interested — a clear no. The deal closes as lost.
- Bad number or email — the contact method is wrong and needs fixing.
Pick the result, set a follow-up date or write a note saying what happens next, then save. When there are more cards behind this one, the button says Save & next and takes you straight to the following deal.
Save & next saves this result and opens the next card in the column.
Saving the result moves the deal into that stage for you — you do not drag it there yourself. You still can, though: a card can be moved between stages by hand when the board needs correcting.
Saving Interested puts the card under Interested.
6. Say what is being sold
A deal is worth nothing until you attach what you are selling. Open Edit products on the deal and pick from the catalog; leave the amount empty to use the list price, or type your own when the deal was agreed at a different figure.
Pick from the catalog, or write in what is being sold when it is not there.
The catalog itself is maintained by an admin under Products — you choose from it, you do not add to it. If something you are selling is missing, ask an admin to add it rather than working around it.
7. Win it into a client
When the deal is agreed, mark it Won. A win has to say what it was won for — enter the amount so the value is recorded.
Drag the card into Won and Klienta asks what the win was worth before it lets go. Fill in the amount, add a short note or source as evidence if the win is not already documented elsewhere, then press Mark won.
The amount is what revenue counts; the evidence note is optional.
The deal then settles into the Won column carrying that amount.
Won carries the amount, and the column total goes up with it.
Winning the deal makes the contact a client: they leave the active pipeline and appear under Clients, with the deal and its value on their record. That is the end of the journey — a lead you added is now a paying client, and everything that happened along the way is kept on the contact.
In short
Add lead → admin reviews and transfers it, which creates the contact → work it in the pipeline with recorded outcomes → mark it won with an amount → it becomes a client. Never create a duplicate: if the person already exists, open them and continue from the pipeline.
