Pipeline and email interactions

Move assigned contacts through outreach and keep Google Workspace email visible.

When to use this

Use this when an assigned contact is ready for follow-up, active pipeline work, or customer email.

Pipeline items represent active sales work. Employees send email from Google Workspace; Klienta captures matched inbound and outbound messages as email interactions so calls, email, and follow-ups stay traceable. Offer creation and delivery are admin-only.

Before you start

  • Confirm the contact is assigned to the employee doing the work.
  • Confirm contact methods are usable.
  • Review CRM email and call evidence before the next outreach action.

Steps

  1. Open the assigned contact or Pipeline.
  2. Review recent communication evidence.
  3. Move the pipeline item to the current stage.
  4. Use the pipeline email action to open Google mail when customer email is needed.
  5. Send from the employee Google Workspace account.
  6. Return to Inbox to verify the matched email interaction and create follow-up work when the next action is known.

Pipeline is the workbench for active selling. Open the card before calling, messaging, or emailing the customer.

Use the pipeline item to choose the outreach action

Review the summary and start Call, WhatsApp, or Email from the pipeline item so the action stays attached to the record.

What happens next

Admins can review pipeline state, email interactions, and admin-managed offer activity. Employees continue from their assigned contacts, pipeline, calls, or read-only Inbox.

Troubleshooting

  • If an outbound email is missing, confirm it was sent from the employee Workspace account and review Email Setup routing.
  • If the contact is not visible, confirm assignment and access.
  • If email evidence is missing, check Email Setup and captured thread status.
