Use Lead Intake, outreach actions, and pipeline stages correctly.

When to use this

Use this when you are selling a product to a new or assigned person and need to record the work correctly.

Lead Intake captures a new person. If that person represents a company, link an existing company or create it with the company representative control at the bottom of the form. Pipeline is where the actual selling work, outreach result, and follow-up must be tracked. Customer email is sent from Google Workspace and captured back into Klienta as Inbox evidence.

1. Start in Lead Intake only when the person is new

Do not create duplicate contacts. If the person already exists, open the contact or pipeline item and continue there.

When you type an email or phone number, Klienta checks whether that method already exists on another contact or company. If a match appears, do not call outside the platform. The lead can go to admin review so an admin can compare submitted fields, apply useful updates, dismiss a duplicate, or transfer the record to the correct operator.

2. Record the outreach action before or while contacting the client

Every client touch must be visible on the pipeline card

If you called outside Google Voice, use Manual phone action. If you do not finish the pending action, admins cannot see what actually happened.

What happens when you choose an outreach action:

  • Call opens the voice path and starts a tracked phone action.
  • WhatsApp or Email opens the external channel and still starts a Klienta action that must be finished.
  • Manual phone action records a call that already happened outside Google Voice.
  • Every started action creates a pending result until you save the pipeline outcome.

3. Move the pipeline to the real next step

The pipeline should not stay in To Contact after a real outreach action unless the next step is still another first touch. After any discussion, save the pipeline result, notes, and a follow-up date when another action is needed.

Result rules:

  • Interested needs a follow-up date or a note with the next step.
  • Didn't Answer needs a retry follow-up or a note explaining why no retry is scheduled.
  • To Contact is for another first touch or scheduled retry before a real conversation.
  • Not Interested requires a reason and stops ordinary chasing.
  • Bad number / email requires the contact-data problem and sends cleanup to admin review.

Required habit

  • Use Lead Intake for new people or companies.
  • Use the Pipeline card for every sales action after the contact exists.
  • Save the Pipeline result, note, and next action after every outreach action.
  • Set a Follow-up date when the client expects another touch.
  • Send employee email from Google Workspace and use Inbox to verify the captured interaction.
  • Use Bad number / email when contact data is unusable so admins can review the record.
  • Use only approved organization tags. If the right tag is missing, write it in the note and ask an admin to update the catalog.
